PROJECT MANAGEMENT
SmartQ
University Registrar Queue and Document Tracking System
A proposed digital solution designed to improve queue management, service scheduling, and document tracking at the JRMSU Registrar's Office.
Making Registrar Services More Organized
SmartQ is a proposed web-based Queue Reservation and Document Tracking System designed for the University Registrar's Office of Jose Rizal Memorial State University (JRMSU). The system provides students, applicants, alumni, and authorized representatives with a more organized way to access Registrar services by allowing them to select the service they need, reserve an available queue schedule, and monitor their position while waiting for their turn. Instead of requiring users to remain in a physical queue without knowing how long they may have to wait, SmartQ provides queue information and an estimated waiting time so users can better manage their time. The system also includes document tracking, allowing users to check the progress of their physical document requests from the time the request is received until it is processed and ready for release. Users are not required to upload their physical document requirements through the system; the required documents are still submitted directly to the Registrar's Office. On the administrative side, authorized Registrar personnel can use a centralized dashboard to manage queue schedules, monitor students and service requests, update document statuses, and view relevant records and reports. SmartQ may also provide notifications to help users stay informed, such as reminders 30 minutes before their scheduled queue time or alerts when only five people remain ahead of them. Overall, the system is intended to improve the organization, visibility, and coordination of Registrar services by connecting queue management and document tracking within a single digital platform.
Queue Reservation
Students can select a Registrar service, reserve a queue slot, and monitor their queue position.
Document Tracking
